Workflows are a key component in your product's journey through Creative Force. With Workflow V2, we’ve made it even easier to build your custom workflows, seamlessly integrate external systems such as AI services, and visualize every step along the way.

After the Workflow V2 feature is enabled in your account, you can go to Production > Workflow V2.

Once inside the Workflow V2 page, you will find the following options to navigate existing workflows:

  • Filter by Client

  • Filter by ‘Any,’ ‘Enable,’ or ‘Disable’ States

  • Sort by Alphabetical A to Z, Alphabetical Z to A, or Creation date

You can hover over the existing workflow to disable or edit it. To create a new workflow, click on ‘Add Workflow’.

Note:

  • Workflow V2 does not yet support the ability to Apply Updates on Derived workflows and workflows that have Derived workflows.

  • Currently, the Apply Updates action is available on the Production and Products page only.

Workflow Content Type

When clicking on ‘Add Workflow’ to create a new one, you must first select the content type for the workflow. The content type will define what steps will be available, and cannot be updated once selected.

  • Photography

  • Video

  • Text (coming soon)

Note:

Video type workflows will have similar steps as Photography workflows except Digital Processing.

Workflow Management

After selecting the content type, you will be brought to the Workflow Management screen.

On the left side, put in the name and description of the workflow.

On the right side, when clicking on a step, you can see all the steps that are available to be added to your workflow. We will go through the details later in this article.

In the center, set up your workflow steps. On the top left, you have some basic buttons like undo, zoom in, zoom out, or fit to the screen to navigate better. You can also quickly zoom in or out using your mouse scroll function.

To get started, click ‘Add step,’ then select your preferred next workflow step and click the Plus button for any additional steps.

To remove a step, select it and hit Delete on your keyboard or go to the three-dot menu from the slide-in.

To replace a step, select ‘Change.’.

Note:

Any time a step is missing a configuration, the system will show an alert. You must correct those errors before saving the workflow.

Workflow Components

When building a workflow, many different components can be utilized for flexibility and efficiency. The more you understand these components, the better you can integrate them into your current and future workflows. You can find further information on these components in the table below.

Step settings

When selecting a step, you will see the Settings and Transition on the right-hand slide-in. The available settings will differ, depending on the step selected.

Note:

  • ‘Cut off step in Kelvin’ is available in every step, it can only be selected for one of them.

  • 'Fan-out' is available in every post-production step, it can only be selected for one of them.

Step transition

The step transition is a required setting to let the system know which step follows in each scenario. One step can have multiple-step transitions. There are three step transition types:

When a step is Done

This is a required step transition, a step must always follow a ‘Done’ step. Creative Force will show a warning to update the workflow, if this has not been corrected, the workflow cannot be saved.

Note:

  • It is not supported to have a subsequent step to Asset Delivery.

  • Capture, Final Selection, Photo Review, and Digital Processing can only have one Done transition.

When a step is Bypassed

In the case where a step is bypassed, the system will show you what the next step is. In the example below, if the External Post step is bypassed, it will be moved to the Internal Post step.

Note:

  • Setting a Bypass transition from a subsequent step to a preceding step is not supported.

  • Bypass transition is only supported at External Post steps.

When a step is Rejected

Rejection is an optional service and needs to be set up between steps to let the system know that the Rejection is available for users. When dragging the line from a subsequent step to a preceding step, the system will know that it is for Rejection.

As an example, you can set up Rejection from Final Selection > Capture from External Post QC > External Post… etc

Note:

  • Without a Rejection transition, you will not be able to reject tasks.

  • It is not possible to reject to Final Selection, Photo Review, and Post Review.

  • Rejection to a post-production step must be done from the corresponding QC or Post Review steps.

Derived Workflow

From most steps in the workflow, you can create a Derived Workflow by clicking on this icon

A Derived Workflow will take output assets of the step it stems from as input assets, from there you can build a separate workflow for those assets.

Note:

Derived Workflow is not available for the Asset Delivery step.

The Derived workflow will generate a separate workunit which you can select a designated style guide for. These workflows will come in handy when you want to apply different services to your assets, using Cloud Automation, for example, to enrich assets.

With the above example, as soon as the workunit is Done at Final Selection, the new workunit will have the To Do status at Internal post, otherwise, it remains in Backlog.

The Derived workunit will be available in the Production tab from the product slide-in on the Products page or in the Product detail view.

Note

If you reset the workflow to a step before or to the stem step of the derived workflow, the workunit of the derived workflow will also be reset, its status will be Backlog again.

Template Library

If you are unsure which steps should be contained within your new workflow, you can select one of the workflow templates by clicking on ‘Visit Template Library’. In the Template Library, workflow templates are categorized into Basic and Advanced workflows, and you can add or remove steps as you see fit.

The Basic workflows contain straightforward steps including up to two post-production steps. Advanced workflows contain more than two post-production steps and have the additional ability to manage exception handling. You can check out some of our workflow templates here.
