Copywriting – Style Guides

Before you dive into setting up your Copywriting Style Guide, you will need to have enabled a custom text-type Production Type, and created a Workflow valid for text-type Productions.

Copywriting Style Guide Creation

After creating a new Style Guide or editing an existing Style Guide, you can start by selecting a Text-Type Production Type.

If creating a new Style Guide, you must also enable and configure at least one Visual Production Type (On Model, Flats, etc.)

After selecting the tab for your Copywriting production, you will need to assign a Copywriting Workflow created for text-type Productions.

Copywriting Tab

In the Copywriting Tab of your Style Guide configuration, you will be able to select a pre-saved Layout configuration, edit the available fields, and configure how they will behave.

If you have not already set up a Layout configuration, you can also create a new Custom Layout. For more information on creating a Layout, see our article here.

Presets & Naming Tab

In the Presets & Naming Tab, you can define how you want the output files for your copy to be named.

Using the File Output Name field, browse and add available Product Properties using the "T" button.

To quickly search for the Product Property you want, type '%' in the field input and begin to type the property name.

Delivery Tab

In the Delivery Tab, you will find a checkmark next to each field for each Delivery Location previously configured in the related Workflow.


Check or uncheck delivery for each field as needed to make sure all copy ends up with the exact stakeholders who need it.

Trigger Tab

In the Trigger Tab of your Copywriting Style Guide, you will find configuration options for how your Productions should become active.

Task Initiation

The trigger decides when a copywriter can start working on a task. Depending on the Trigger chosen, the Production will not be available in the Copywriting Kanban until it meets the criteria.

The following Task Trigger options can be configured, depending on your studio's needs and Workflows.

The copywriter can begin working on a task as soon as the product is created.

Related Sample Check-In

The copywriter can begin working on a task as soon as a related sample has been checked in.

Any Photography Production Is Done

The copywriter can begin working on a task as soon as any Production Type for a Product has been completed.

Specific Photography Production Is Done

The copywriter can begin working on a task as soon as a specific production type has been completed.

Task Bundling

Task Bundling is a feature for efficient handling of products with the same Style Code. When Task Bundling is enabled, copywriters can work on multiple Products as a group, applying the same content across the board.

Products can be grouped into a Task Bundle when all of the following criteria are met:

  • Their Copywriting Tasks haven’t started.

  • The Products shared the same Style Code at the time of import.

  • They are using the same Style Guide and Workflow versions.

When Products are grouped using Task Bundling, you will be able to view the number of actively bundled Products by checking the Production tab of the Edit Product Menu:

Note:

  • Products imported that meet the above criteria before a Bundle Task has started will be added to a Bundle. However, Products imported after the task starts will not be included.

  • If a Bundle has over 300 tasks, you will not be able to filter by that Style Code on the Production, Products, Samples, and Assets page.

With Task Triggering & Task Bundling Enabled

When Task Trigger and Task Bundling are both enabled, all Products within a Task Bundle will not be available until the trigger for the first product is activated.

Example Scenario:

  • Task Trigger: Related Sample Check-In

  • Task Bundle: Enabled

  • Scenario: Five Products have been imported that share the same Style Code.

    • Outcome: As soon as a Sample for the first Product is checked in, Copywriting Tasks for all five Products in the bundle become active.
