Copywriting – Task Kanban

After setting up your Copywriting Workflow and Style Guide, you will start to see the first text productions come into your Copywriting Kanban boards.

Accessing Tasks

Through the Tasks tab, you can access the Copywriting Kanban and Copywriting QC Kanban, respectively:

Like in other Task Kanban views, you can filter, search, and sort available tasks. You can also save and share custom views for future sessions:

Kanban Layout

The Kanban Board is sorted into three columns: To Do, Doing, and Done– based on the current status of the task.

To Do

Shows tasks that are available for processing.

User has not selected 'Start' for this task.

Doing

Shows tasks that are assigned to a user, have been picked, and the user has started working on the task.

The task is assigned to a user, and they have selected 'Start.'

Done

Shows tasks that have completed processing and moved on to the next Workflow step.

The task was assigned to a user, started, the task was completed, and sent forward in Production.

Task Information

At a glance, users will be able to see the Product Code for the task, the Product Name, and the Display Image of the Product.

Additionally, if your Workflow setup has Task Bundle by Style Code enabled, you will see the tag 'Style' under the task in this Kanban view.

3-Dot Menu

For each task, users will be able to select the 3-dot menu, which contains a number of available actions.

Depending on whether the task is To-Do, Doing, or Done, different actions may be available in the menu. Learn more about each available action in the table below.

Assign the task to yourself, allowing the task to become available to 'Start.'

Unpick

Unassign yourself, allowing the task to be available for another user to pick.

Unassign

Unpick & Unassign from yourself.

Preview

Enter a full-screen preview view, where you will find more information about the Product and its assets.

A drop-down at the top will allow you to view assets as they were at the completion of each prior Workflow step.

Show Information

Pull up the Product Overview slide-in menu as if accessing from the Product or Production tabs.

Debug Info

Copies debug information specific to the task to the user's system clipboard.

Useful for troubleshooting with the Creative Force Support team.

Task View

Once picked from the 'To Do' column, and after the user has selected 'Start,' they will enter a full-screen Task view. The content that appears in this screen is determined by the Configuration, Layout, and Fields previously set up in the associated Style Guide.

Note: If Task Bundle by Style Code is enabled in the Style Guide, the copywriting can be done in one Product and then applied to all Products in that Bundle.

Task Ways of Working

On the left-hand side, you will see different boxes that you must fill in to complete the copywriting task. On the right-hand side, you can see the related Product data.

The exclamation mark in the top-right corner of a field will let you know that it is a mandatory field you must complete.

Text Box Fields

For Field Types that include text boxes, you will see a required range of characters you have to fill in.

Selection Fields

For Field Types that allow a selection of options, you can see the predefined options by clicking on the "+" icon within the field and then quickly selecting the ones that apply to your assets.

Asset Widget

Lastly, the Asset Viewer Widget will show you the available assets for the different Production steps.

Product Labels in Copywriting

If your studio is using the Label Recognition Add-On, content is shown in all copywriting tasks where label data is associated with the Product.

Task Next Steps

Depending on the progress of your work, a number of actions can be taken depending on what is needed to move forward.

Task Caching

All of the work you do in fields is cached to your user account, so you can exit and return to a task at a later time.

When exiting the task, you will see the ‘All changes are saved’ message in the top-right corner. When returning to the task again, it will look exactly as you last left it.

Completing a Task

When you have finished the task and made sure that you have met all the requirements, click 'Continue' to send it to the next Workflow step.

If QC is enabled in the Workflow, your work will become available in the QC Task Kanban.


If QC is not enabled in the Workflow, your work will be delivered directly to the designated delivery option.


Auto QA

If your Workflow allows 'Auto QA Override', when you try to process a task without meeting the set requirements, the following warning message will be shown when clicking on 'Continue.'

If your Workflow does not allow 'Auto QA Override', you will not be able to push the task forward without meeting the set requirements.

Copywriting QC

For Workflows where QC has been enabled, the tasks will be shown on the Copywriting QC Kanban once the initial Copywriting Workflow step has been completed.

On the QC Task Kanban, you will see a view that is similar to the one that was previously available at the Copywriting stage.

Within the task view, you can modify or adjust any of the fields that were available for the copywriter.

As soon as changes are made to a field, a yellow QC flag will appear, allowing you to give more details about the changes you've made.

From there, you can evaluate and discuss your changes with the copywriter via instruction and task rejection.

QC Rejection

You can reject specific fields with detailed instructions to be re-completed by the copywriting team. When hovering the mouse pointer on a field, you will see a dot in the top-right corner to mark the field for rejection:

When rejecting a field, you can click on the red QC Flag and select a tag to standardize the communication with the copywriter.

On the right-hand side, you can write down detailed instructions; by default, the instruction note is applied to the field you have selected. Otherwise, you can click on 'General Rejection' to apply the note to all fields.

Hit Ctrl/Cmd + Enter to save your notes. Once done, click on 'Reject Task' to reject it back to the copywriting team.

Note: If a field is marked for rejection, you cannot edit it directly. However, you can edit fields that are not marked for rejection.

The rejections you put in will be cached so that if you change the focus to a different field, the text is kept in the reason input field on the panel until the page is refreshed.

After the copywriter submits the task again, when QC'ing the task, you will be able to select the rejected field to see the previous version of the content and compare it with the current one.
