Efficient Talent Selection with Short Lists
Once you’ve created Talent & Crew profiles and galleries to store images, you can create Short Lists to share with other departments in your studio. This helps you to streamline the approval process and ensures you select the right talent for your photography session.

Talent & Crew is an add-on feature, so please contact your dedicated Customer Success Manager for more information.
Permissions Required
Before you start, ensure you have the following permissions:
Under Planning, you’ll need Edit permissions for User Profile: Short Lists to add talent to Short Lists on the Talent & Crew page. This is separate from permissions on the Talent & Crew page itself.
Under Collaboration, Edit permissions for Short Lists are required to add talent to Short Lists on the Collaboration page.
Create a new Short List
From Talent & Crew page
On this page, you can add users and create a Short List at the same time.
Clicking on a user, and going to the three-dot menu from the slide-in, you will be able to add that single user to a Short List.
Select multiple users, and go to Actions -> Create new Short List.
From Short Lists page
Go to Collections -> Short Lists -> Create Collection -> Short List -> Create.
Add to existing Short List
On the Talent & Crew page, you can select the option to ‘Add to existing Short List.’
From the drop-down list, choose a Short List name. You’ll have two options:
Save: Add the selected users to the chosen Short List.
Save and go to shortlist: Add the selection and navigate to the Short List detail screen under the Collections page.
Short List page
Head to Collections > Short Lists. This is the main page where you’ll find all your available Short Lists. Similar to other pages in Gamma, you can use filters to create, save, and share custom views with other team members. You can also switch between Grid view and List view.
When hovering over the Short List, you will see some different icons and options:

Three-dot menu will give you the option to:
Disable: is to disable the short list and you can enable it again
Delete: is to delete the short list
Duplicate: will come in handy when you want to copy over all the settings and images into a new short list
Debug info: will come in handy when you need to reach out to our Support
Clicking on the short list, the slide-in will come from the right-hand side giving you extra info about that short list. And, of course, you can edit the short list anytime you want.
Editing Short List
To edit a Short List, click the ‘Edit’ button when hovering over the list or from the slide-in panel.
You can update the Short List name, add a description, adjust thumbnail sizes, filter assets, and add more talent. Use the Select Assets option to add images of the talent.
On the right-hand side, you’ll find three tabs:
Overview: Manage sharing settings for reviewers, similar to setting up an External Review task. You can:
Apply client-specific settings, filtering Production Assets by client.
Add reviewers and set their access levels.
Define the Short List experience for reviewers.
Content: View the talent added to this Short List. Click ‘Add options’ to include more models.
Comments: View and respond to real-time comments from your reviewers.
Sharing Short List
Once your Short List is ready and you’ve added reviewers, you can share it for review. You have two options:
Save & Send Invitations: Automatically send an email notification to reviewers, inviting them to review the Short List assets.
Save & Close: Save the Short List and close the setup screen. You can then navigate to the Short List page and manually copy a share link.
To preview your Short List, click Open in new tab. This opens the Review App, where you can see exactly what external reviewers will see when they review the assets.
Review Short List assets
Once invitations have been sent, reviewers will receive an email inviting them to review the assets in the Short List. They can control thumbnail sizes, search for assets, and leave comments. Depending on their access level, they can approve, reject, or comment on selected talent.
Clicking on a thumbnail opens a larger view of the selected image, where you can view more details about the talent and leave comments. Use the arrows or your keyboard to navigate between selections.
All comments and likes/dislikes are updated in real time. Your studio team can immediately see which talent has received the most likes. Clicking on an individual will display the comments made about them.
