How to apply workflow and style guide updates on products

Written by Viviana

After making the changes to the workflow and the style guide, you will need to apply those changes to the Product Requests. There are two ways to do this, you can apply the changes to each Product Request or to multiple Product Requests.

Individual Product Request

Select the Product Request and click Edit Product Request -> Reset production. The ‘Update version available’ box appears whenever there are changes in the workflow or styleguide.

To apply the updates, turn the toggle on in the blue window and click Reset. Please note that this action cannot be undone. By doing this, the Production will be brought back to the Photography step which means that all assets associated with this Production will be removed.

Multiple Product Requests

To apply changes on multiple Product Requests, go to Style guide -> Actions -> Apply updates.

From here, you will be able to filter the Product Requests under Clients, Workflows, and Style guides. Select the production you wish to update to the latest version and click the apply button.

By default, we only show Productions on Backlog and To do status because these Productions have not had any assets created. You can also select In Progress Productions as well. Again, keep in mind any assets associated with those Productions will be removed.

More information on how to apply updates to individual production types can be found here.

Notes:

  • Inactive Product Requests will not be displayed on the Apply Updates screen, therefore, those Product Requests cannot be updated.

  • Product Requests that are running on a disabled workflow or style guide, will not be displayed on the Apply Updates screen, therefore, those Product Requests cannot be updated.

  • If you’re applying updates to Product Requests that are In Progress or Done, this feature currently supports working with 1,000 Product Requests ~ 3000 work units or less at a time. There is no limit regarding Backlog and To Do Product Requests.
