Gallery Collections

How to use Gallery Collections in Editorial to share Project Assets with external stakeholders for review and feedback.

Gallery Collections offer a new way for Art Directors and Project Owners to source feedback from external reviewers during campaign planning. With selected project assets, create shareable links for external stakeholders to review and leave feedback on– then, review the feedback in Creative Force and assign them directly to new or existing deliverables.

Feature Overview

Gallery Collections in the Editorial Module allow users to group assets directly within the asset Gallery of an Editorial Project and share them out as Collections for external review with relevant stakeholders outside of Creative Force.

Collection Owners have full control over the invitation list, experience settings, and ultimately what steps to take after external feedback has been reviewed– even creating Deliverables directly from reviewed Project assets.

Creating Collections

Within the Images tab of an Editorial Project, uploaded assets can be added to a new Collection either as a full gallery or a group of selected assets.

Full Gallery Collection

Within the Images tab of an Editorial Project, Galleries can be shared via the 3-dot menu in the left-hand Gallery List panel, or via the 'Share' button to the top right of the asset grid within the gallery.

Selected Assets Collection

To only add specific selections to the Collection, first navigate to the 'Favorites' or 'Uploaded' subtabs in the Gallery list– then, use command+click or shift+click to highlight the desired assets before hitting the 'Share Selected' button.

After choosing the desired assets and opting to add them to a new Collection, a new pop-up menu will be loaded on the screen, allowing you to further define the Collection behavior.

In the next screen, you can navigate through assets, adjust settings, invite users to review, and more.

Edit the name for the Gallery Collection

Description

Add a description for the Collection to be shown to others within the system.

Invite

Add users to review the Collection once saved. Entering the text box allows you to add the emails of individual users.

Search

Search for specific character strings within the asset names.

Experience Settings

Control the behavior of the Collection via various configuration options and settings.

Cancel

Exit the Collection and lose related data.

Save & Close

Save the Collection with configuration options applied.

🚧 Work in Progress: Currently, star ratings are not editable within the collection setup screen or the external portal. This will continue to be refined in the future.

Collection Configuration

Inviting Users

In order for the Collection to be available for Publishing, at least one reviewer must be added to the Collection. To invite a user, click into the Invitation field and type or paste an email address, then hit enter.


Once the email has been submitted, you can change the invited user's role. There are three active roles for people with access to the Collection.

Function

Collection Owner

Is always assigned to the initial creator of the Collection, and has full control. The owner can invite people, remove members, and change anyone's permission level.

Owners are also able to view everything Commenters and Viewers can do (view assets, add comments, markups).

Commenter

Can view all assets and contribute feedback using the mark-up tools and the comment thread. Cannot manage members or change permissions.

Viewer

Read-only access. Can open the collection and see images, existing comments, and mark-ups left by others, but cannot add comments, draw mark-ups, or change permissions.

Collection Settings

Experience Settings allow you to control specific behaviors within the Collection and how they should appear for invited reviewers. In the table below, we will outline the settings specific to Gallery Collections and what they do.

Allow Download

Toggle On/Off, & Is disabled by default. When disabled, users accessing the Collection will be unable to download assets.

Feedback Visibility

Controls what groups are able to see markup/instruction/comments left on assets by other viewers. Choose between:

  • Show Feedback to Everyone

  • Show Feedback to CF Users Only

Asset Elements

Toggle On/Off individual data elements to be displayed under assets in the Collection.

Sort Order

Select a sort order for the assets within the Collection. Choose the characteristic and whether to sort it in ascending or descending order.

  • File Name (ASC)

  • File Name (DESC)

  • Photography Date (ASC)

  • Photography Date (DESC)

Publish Collection

Once you have invited users and set any desired experience settings, you will see the option to 'Publish' in the top right corner of the screen. After publishing, you will exit the collection setup menu and return to the Gallery view.

To access the Collection setup view again, you can hit the 'Share' button in the top right to re-enter, invite additional users, and change settings further.

Additionally, a new panel of icons will become available with various new functions. These icons and their use are outlined in the table below:

Opens a view of the external reviewers portal to preview and review feedback.

Copy Link

Copy a link to access the portal for invited reviewers.

3-Dot Menu

Trigger various collection-level actions:

  • Resend Invitations

  • Disable Collections

  • Delete Collection

  • Debug Info

Sharing Collection

The published Gallery Collection can be shared with invited users via invitations or direct access links:

Email Invitations

Post-publish, email invitations are automatically sent to the invited users. New invitation emails can be retriggered and sent via the 3-dot menu outlined in the previous section.

Direct Link

In various areas of the Gallery and Collection screen, direct links can be copied and shared with users who have previously been invited.

Reviewer Access

Whichever method of sharing is taken, the end user will be routed to a new page where they may need to verify their email address via a code.

Once they have been verified, they will be able to access the Collection and take any actions associated with their granted Collection Role.

🗣️ Tip: If the invited user is having trouble entering the portal after verifying, please send them a fresh invitation link and have them try again in an incognito tab, or after having reset the browser cache.

Collection Review

As a reviewer within the portal, you will have a number of navigation options and actions that can be taken depending on your collection role.

Settings & Navigation

In the User Settings, set a first and last display name to be associated with comments and markdown. Copy debug information to share with Creative Force Support during troubleshooting, or Log Out of the portal.

If you have been invited to multiple Collections, use the side panel slide-out to select between any currently active collections and access them individually.

Towards the top right of the screen, use the various filtering, search, and display settings icons to narrow or enhance your asset view.

Leaving Feedback

As a reviewer, double-click into a specific asset to toggle between the view and comment sections.

In the comments section, asset feedback and markup can be left for internal stakeholders to review. For a detailed breakdown of the available controls in this interface, please see our dedicated article on the subject by following the link below.

Back in the Gallery view, comments and markup can be viewed both directly in the module and within the setup screen by the Collection Owner.

Create Deliverables

After reviewing your external stakeholders' feedback, you can choose to directly assign assets to Deliverables within the Gallery view.

With the desired assets selected, access the selection menu by right-clicking. Within the selection menu, you will see two relevant options to proceed:

New Deliverable

Create a new Deliverable and associate the selected assets with it during the creation process.

Add to Deliverable

Search for and specify an existing Deliverable to associate the selected assets with.

One Deliverable Per Asset

When creating a new Deliverable with multiple assets selected, use the toggle option under the name field to create a unique Deliverable for each individual asset:

📝 Note: When this toggle is selected, the Deliverable Name field and Media Type will be locked to a specific format.
