Resourcing: Booking Portal

How to use the booking portal as an external user.

Creative Force's Booking Portal is a bridge between a studio using Creative Force to plan a shoot– and you, the talent for the shoot. With the Booking Portal, you can share availability, confirm or reject session bookings, or communicate directly with studio planners– all from a web browser or your mobile device.

Introduction

When a studio has you in their resource list, they may need to occasionally communicate shoot details to you or request your availability for an upcoming shoot. When a studio's planner has created an entry where you are associated, the necessary details will be shared with you via email.

Booking Emails

When a planner has initiated an action that requires your attention, you will receive an email from booking@creativeforce.io. Depending on the studio's settings, you can reply directly to an email, and it will be forwarded to the Creative Force user who initiated the request.

Within the email itself, you may or may not see an option to access the Booking Portal. Some emails are just notifications– and do not require further action. When emails are just notifications, no link to the Booking Portal will be shared.

When there is action required, you will see the blue 'Open Booking Portal' option at the bottom of the email. Select it to open the Booking Portal in your browser.

When you enter the portal, you will be taken to a screen with a calendar and other details. Check the UI Map and table below to learn more about what's available.

Studio Name

The name of the studio that has reached out.

Portal Settings

A collection of settings you can configure for the portal.

Shift Calendar

Select to move the calendar view forward or backwards to see visual entries by month.

Awaiting Response

This indicator notifies you of how many entries are awaiting action on your part.

View History

Review a history of your actioned calendar entries.

Request Details

Entries that still require action will each be shown as a listed item here. Select one to view more details and review your options to complete the request.

Entry Marker

Review visual markers for entries related to you in the Studio's resourcing calendar.

Portal Settings

By selecting your user icon at the top right, you can configure certain preferences in the settings menu. Switch from light to dark mode or change the UI text to an alternate supported language.

If you are ever troubleshooting an issue with the Creative Force Support Team, you can use the 'Copy Debug' action to copy useful system context to your clipboard.

Viewing Requests

When selecting a listed item that is awaiting response, it will expand to show more details about the entry. In the portal calendar, it will automatically shift to the dates involved and highlight them for a clearer view.

The specific details shown when expanded may vary studio by studio depending on how they have configured entries to appear, but you will always see the entry type (availability or booking + request or confirmation) as well as any further explanation of the action required on your part.

When we reach out, we're asking one of two things– either whether you're generally free, or whether you can take on a specific piece of work. Here's how you can mentally frame the difference between Availability and Booking requests.

Send Response

Now that you understand the question being asked, the next step is providing an answer. How you are able to respond depends on how the question was configured initially on the studio end.

Include Notes

After selecting a response option, you will be shown an optional text field inside the submission menu. Use this to communicate context or other details about your response, and it will be included with the submission.

The included text will be displayed along with the action you took for the planner in Creative Force to review.

Change Response

Once your response has been submitted for a request, you will still have the option to change your submission. While navigating through the calendar, select an entry marker to re-open its details pane.

On the right-hand panel, select 'Change Response,' reselect your intended response option, then use the 'Submit' button to send your new selections back to the studio.

Availability Range

When a studio requests your availability for a range of dates, you will be presented with multiple ways to respond. You can either make a binary statement of "I am available for all dates," a binary statement of "I am not available for all dates," or provide a mix of responses depending on the dates involved.

  1. Move to the highlighted dates in the range on your portal calendar.

  2. For dates you are available, select the date once to set it as 'available.'

  3. For dates you are unavailable, select twice to set as 'unavailable.'

  4. Move back to the request details pane and select the 'Submit' option.
