HUE: Cloud Work Files

How to use the Cloud Work File Upload and Download features in Creative Force.

Written by Viviana

HUE Cloud Work Files is an add-on feature that allows more complex management of work files related to Internal Post tasks. It enables uploading, downloading, and retaining copies of retouchers' working files that are processed through the app. This allows large teams of retouchers to more efficiently pick up and leave off on work between rejections.

Add-On: Cloud Work Files are an add-on feature and must be enabled before they become available for configuration and use. For more information, please reach out to your Customer Success Manager.

Studio Settings

Once the feature has been enabled for your studio, you will need an admin to configure the general settings via the Studio Settings in Gamma. The configuration options will be available under the Internal Post Settings section of the page.

The available settings in this section will be configurable separately per module for E-comm and Editorial, if your studio has them enabled.

Configuration Option

Description

Work File Format

Select the default work file format for your studio.

PSD: Individual file size limit of 2 GB (gigabytes)

PSB: Individual file size limit of 4 EB (exabytes)

  • As soon as you click ‘Save,’ the setting will be applied.

  • Already downloaded tasks in HUE will not be affected. Retouchers will need to unpick the task and reassign it.

Upload to Cloud

Toggle allows or disables working files from being uploaded to the cloud. Having this off means the Cloud Work Files Feature will not be enabled.

Retention

Set how long working files should be retained in the cloud; time is calculated in UTC.

Hue Settings

Once the studio-level settings have been configured and the feature has been enabled, users will be able to individually configure how the feature works for them. During their first login, they will receive a prompt explaining the feature. Further configuration can be done within the 'Work Files' section of the General HUE Settings menu.

Qualifier

When work files are available in the Creative Force cloud...

Work File Option

Function

Download & Use Existing

Yes (default)

When you pick the task, Hue automatically downloads and opens the existing work file from the Cloud. You continue from where the previous editor left off (layers, edits, etc.).

No

Hue ignores the Cloud work files and instead downloads the original input assets, so you start clean from the source images every time.

Ask Me

You decide per task, when triggered, the task shows a "Choose Work Files" prompt with two buttons:

  • CREATE NEW: starts fresh from the input assets (same as "No")

  • USE EXISTING: downloads the Cloud work file (same as "Yes")

Qualifier

After Hue uploads a task...

Work File Option

Function

Upload Work Files to Creative Force Cloud

Yes

Hue saves a local copy of the work files.

No (default)

Hue does not save a local copy of the work files.

Back-Up Work Files Locally

When the option above is set to 'Yes,' a Backup Folder picker plus a naming template (built from merge fields) appears. If your studio uses Editorial, you can set separate E-Comm and Editorial backup folders/naming.

Download/Upload

Depending on the settings configuration in the previous step, users will begin to see cloud icons associated with certain tasks in their task list. If they have selected to be asked, they will receive a prompt each time an associated workfile has actions.

After a user finishes the task and uploads it, the app will prioritize uploading the Assets first, and then complete the task. At this time, you will see the message ‘Uploading task details and assets,' then ‘Uploading work files X%.'

Cloud Work Files in QC

When workfiles have been uploaded to the cloud, users downstream in the Workflow can pull those PSD/PSB files back down during review. In the Post QC and Post Review task screens, when a task has a working file, users will see additional actions for "Download Work File" & "Download All Work Files."

Logic Notes

Because the Cloud Work Files feature is dependent on a number of variables connected to many individual users, results can sometimes be complex. In the following sections, we will describe edge cases or point out examples that may be helpful for better understanding expected behavior.

Edge Cases, Examples, & Logic Notes

When a retoucher picks a task that was not their initial task, Hue will automatically download the work files from the Creative Force Cloud. This work file will keep all of the existing edits from the previous round, avoiding redoing the task from scratch. For example:

  • If the workflow contains two or more subsequent internal post steps, the work file from the first/previous internal post task will be passed to the next internal post task

  • When the subsequent task is available in Hue or if a current internal post task is rejected and unassigned, Hue will then download the work files from the cloud (if available), when a user picks the task from the Available tab.

If the workflow has two levels of Internal Posts, at Internal Post L1, the user chooses not to upload work files to the Cloud, then at Internal Post L2, Hue will download the output of Internal Post L1 and create the work files according to those outputs.
