Collections: Review Groups

How to set up Review Groups in the Collections Module of Creative Force.

Sharing a Collection with external reviewers is quick and easy with a saved Review Group. Add your predefined group in just a few clicks, with each reviewer’s roles and permissions applied automatically. This keeps the review process consistent and makes it simple to invite the right people every time.

Introduction

In this article, you’ll learn how to create a Review Group, add reviewers, and assign their roles and permissions. You’ll also see how to use a saved group when sharing a Collection with external reviewers. Once set up, your review process will be quicker, more consistent, and much less repetitive.

Getting Started

You can create and edit Review Groups in two places: Studio Settings and the Collection details page. To create Review Groups, user must need to be in a Role with 'Edit' permission Collections > Review Groups.

When creating a Review Group, make sure it meets the following requirements.

Fields

Details

Group Name

  • The name must be unique.

  • The name contains no more than 255 characters.

  • The name is not case-sensitive, so “Review Group A” and “review group a” are treated as the same name.

Invitees

  • Each Review Group must have at least 1 member and no more than 20 members.

  • A person can only be added to a Review Group once.

Member role

  • Each member must be assigned one of the following roles: Viewer, Commenter, or Decision Maker.

  • These roles serve as a reference within the Review Group. When the group is added to a Collection, Creative Force checks each member’s role and applies the current role at that time.

Create in Studio Settings

To open Review Groups settings, go to Studio Settings → Collections → Review Groups. This page is where you can create and manage reusable reviewer groups with pre-assigned roles, making it faster and easier to share Collections.

To create a Review Group, click Create Review Group. To update an existing group, hover over it and click Edit.

Create in Collections

You can also create a Review Group while editing a Collection.

  1. In the Collection, click Invite and select Create Review Group.

  2. Add the users you want to include in the group.

  3. Click Create & Apply.

The new Review Group is applied to the current Collection and also appears on the Review Groups management page.

📝 If a Review Group has already been added to a Collection, any changes made to the group will not update that Collection automatically. To apply the latest changes, remove the existing users from the Collection and add the Review Group again.

Reviewing in Collections

The most recently created Review Group appears at the top of the drop-down list. Select the group to add it to the Collection.

📝 It's not possible to add new users or Review Groups to a Review Completed Collection.

When using Review Groups in Collections, you may encounter the following scenarios. Review the list below for more information.

Scenario

Details

1. Add users after a Review Group has been added

  • New users added to a Review Group will not be added to Collections that have already been shared. They will be included the next time the Review Group is added to the Collection.

  • After adding new users, click 'Save & Send Invitations'. Otherwise, the new users will not receive invitation links to the Collection.

2. Remove a user after a Review Group has been added

  • Removing a user from a Review Group does not remove them from Collections that have already been shared. They will keep their existing access to those Collections.

3. Change a user’s role after a Review Group has been added

  • Changing a user’s role in a Review Group does not update their role in Collections that have already been shared. Their existing role on those Collections remains unchanged.

4. Add users or groups to an R2+ Collection

  • If Version Compare is enabled for the Collection, newly added reviewers can compare the current version with earlier versions.

  • However, users added from R2 onward cannot comment on or make decisions for previous review rounds.

5. The same user appears in multiple Review Groups

  • If the same user belongs to multiple Review Groups, they appear only once in the Collection and receive one invitation.

  • If the user has different roles in the groups, the role from the group added first is applied. To assign a different role, update it manually in the invitation list before sharing the Collection.

6. Add a Decision Maker group to a Gallery Collection

  • Gallery Collections do not support the Decision Maker role. If a Review Group includes a member with this role, the member is added to the Gallery Collection as a Commenter instead.

7. Collection Owner

  • If a user is the Collection Owner and is also included in a Review Group with a different role, adding the Review Group will not change their Collection Owner role.

📝 Resend Invitation sends the invitation again to everyone on the Collection, including earlier reviewers. Use it only if you want to remind everybody.
